How to Private Print Using an HP Multifunction Printer (MFP)

Overview

In some situations, you may need to print documents securely to ensure they aren't picked up by someone else before you arrive. Private Printing is a simple way to do this.
This guide will show you how to use Private Print on HP Multifunction Printers. It allows you to send a print job to the printer but hold it until you manually release it once you arrive.

Instructions

We'll start with how to initiate Private Print from your computer, then walk through the steps to release the job at the printer.

At your computer:

  1. Open the file to be printed (Word document, Excel Spreadsheet, etc.)
  2. Click on File, and then Print. Ensure that the correct printer is selected
  3. Click on Printer Properties
  4. Click on the Job Storage tab. Select Personal Job in the 'Job Storage Mode' section. Then click OK.

Click File, then print, and ensure the correct printer is selected. Click on printer properties, go to the job storage tab, and change it to personal job.

 

Now you will head to the printer itself. As a note, you will need your Copy Code PIN when you go to the printer.
This is typically provided to you by IT when your computer account is first created. There are two alternative ways for setting a private PIN or password for this, but we will cover those at the end of this document.


Once you arrive at the printer:

  1. Go to the printer and press the Print from Job Storage icon.

  1. Sign into the printer with your Copy Code PIN (you should have received this from IT previously).

  1. Click on the folder with your username.

Click on the folder with your username,

  1. Select the print jobs that you want to release, and then press the Print button.

Select the desired document to print, and then click Print.

All done! Give the printer a few moments and you can retrieve your paper from the tray.
Be sure to log back out of the printer once this is done.

Please see below for alternative methods of setting a PIN or Password on the print job. As mentioned earlier, there are two other ways you can set a PIN or Password for a specific print job, to provide added security. You do this from your computer when adjusting the Private Print settings, before you send it to the printer. Be careful with these functions, as there is no recovery if you forget the PIN or password you create.  You would just have to print again.

In Printer Properties (see the "At your computer" steps above), the 'Make Job Private/Secure' field is set to 'None' by default.

There are two options you can choose from the drop down: PIN to Print and Encrypt Job

Let's start with PIN to Print. Choosing this will give you another space to enter a PIN. Just select PIN to Print in the drop down, enter the PIN, and hit OK to save it. This is NOT your Copy Code PIN, it is just something that you associate with this print job. You will be prompted for it at the printer when you go to print.

Choose PIN to Print, enter the PIN, and then hit OK to save.

The second option is Encrypt Job (with password).  After selecting this option, click OK, then hit PRINT. It will prompt you to create a password for this job. This is NOT your logon password. It is a single-use password associated only with this print job. You will enter this when you are prompted at the printer.

Choose Encrypt Job with password, click OK, and then hit Print. It will have you create a password for the job.

You now know everything you need for private printing on HP Multifunction printers!
