How to Open a Shared Mailbox in Outlook (Classic) Desktop App on Windows Computers

Overview

There are many responsibilities that may require you to have access to shared mailboxes at Purdue. These are mailboxes designed to be used for certain departments or dedicated purposes, by multiple people. By default, mailboxes that you have access to should load in the left panel of your Outlook Desktop App. These instructions will guide you through where to look for them, and how to add these mailboxes manually should they not appear automatically.

Instructions

For these instructions, you will be using the Microsoft Desktop app for Outlook (Classic). There is a “new” version, but we currently advise against using this due to consistent issues.

Please follow these steps to use your shared mailbox in the Outlook (Classic) Desktop app:

1. By default, you should not have to do anything on your end. As long as you have been granted access to the shared resource mailbox (speak to your manager/Purdue IT if this has not been done yet), it should appear in the left panel of your Outlook app, beneath your normal inbox and groups.

Not seeing your mailbox here, and it has been at least 30 minutes?
Please use the steps below to add it manually:

  1. In your Outlook app, click File in the top left.

  1. Click Info, and then Account Settings > Account Settings

  1. Double-click on your mailbox

  1. Go to More Settings

  1. Go to the Advanced tab, and in the Mailboxes section, click Add

  1. Put in the exact name for the shared mailbox, and click OK

  1. You will see the name populate in the Mailboxes section. Click Apply

  1. You should now see the mailbox under your normal inbox and groups in the left panel.

 

You are done! You should now be able to access that mailbox whenever you log into your Windows computer.
