An explanation on how to use Microsoft Teams for meetings. 

Instructions

Scheduling a Meeting

1. On the left-side navigation, select Calendar.

2. In the right-hand corner, select the New Meeting icon.

3. Alternatively, you can select the Meet Now option to create an immediate meeting, ideal for impromptu sessions.

4. In the new meeting window, fill out the following details:

  • Title: Name your meeting.
  • Attendees: Add or invite participants by entering their email addresses.
  • Scheduling Assistant: Use this tool to find the best meeting times for you and your attendees.

  • Add channel: Select a channel (or team) to allow only members of that channel to join.
  • Add location: Specify a physical location or select Microsoft Teams for an online meeting.

5. Click Save to save the meeting.

Joining the Meeting

Via Outlook

1. Click on your Outlook calendar.

2. Select the meeting.

3. Click Join

Via Microsoft Teams

1. Go to the Calendar tab.

2. Select the meeting.

3. Click Join to start.

Via the Channel in Microsoft Teams

1. Click the channel where the meeting was posted.

2. Select Join online.

Basics of Meeting Controls

1. Join with or without Audio.

2. Join with or without Video.

3. The Microsoft account image you uploaded will display as your video if video is turned off.

4. Leave the meeting by clicking the leave button. 

5. Share your desktop screen by selecting the Share icon.

6. Record your meeting:

  • Click the ellipses (…) to open the additional options menu.
  • Select Start Recording.

7. Allow others to control your screen:

  • Choose the user's name from the bar at the top of the screen.

8. Add new members within the meeting:

  • Click on the people icon at the bottom of the screen.
  • Type in their email or phone number to invite them.

Starting a Channel Video Call

1. Go to Teams.

2. Select the team you want.

3. Pick the channel where you want to make the call.

4. Select the Meet Now button at the bottom of the screen.

Starting a Call Within an Existing Conversation 

1. Go to Chat.

2. Click on the conversation.

3. Click Reply.

4. Choose the Video Call option.

One-on-One/Group Calls

1. Go to the Chat List.

2. Navigate to Contacts.

3. Click Create a New Contact Group.

4. Type the name of the contact group.

5. Click the three dots next to the group name.

6. Select add a contact to this group.

7. Type the name of the person(s) you want to call.

8. Click Video or Audio Call.
