This article applies to SAPgui and Webgui only and not to printing BW reports or printing though other methods.
Instructions
The custom print settings override those specified by SAP default settings for individual reports or transactions. They can be seen as 'custom' settings since they are restricted to an individual person. They may be temporary or permanent and may apply to one or all reports.
Three distinct but closely related procedures are described: (1) creating temporary settings, (2) creating persistent ('permanent') settings, and (3) deleting persistent settings. This article applies to SAPgui and Webgui only and not to printing BW reports or printing though other methods.
To set temporary, custom print settings
NOTE: Print settings other than those mentioned in this example can be specified using this method.
- Navigate to the transaction you wish to print and click the 'Print' icon. (Alternatively, select menu items 'List' then 'Print - or - 'System', 'List' then 'Print - or - press Ctrl-P.)
- At the 'Print ALV List' (or 'Print Screen List') window, click the 'Properties' button at the bottom.
- Double click on 'Format' so that the 'Other Properties 'Format'' area appears at the bottom of the window.
- Click in the 'Format' value field and select 'X_65_200' (or any desired and appropriate format) in the drop down menu. Then click the 'Choose' button at the bottom of the window.
- Expand the 'Output' folder by clicking on its triangle. Double click on 'Suppress colors/shading in printout', uncheck 'Suppress colors/shading in printout,' and click the green check mark.
- Click the green check mark again at the following screen.
- This will submit the custom spool request and then print out the report.
NOTE: These settings are not stored as personal defaults. It must be specified again the next time this report is printed. To create permanent settings, see below.
To set persistent, custom print settings
NOTE: Default settings that will apply every time you print a specific report. Print settings other than those mentioned in this example can be specified using this method.
- Follow steps 1 and 2 from the 'To set temporary custom print settings' process to bring up the 'Spool Request Attributes' window.
- Press the 'Defaults' button to bring up the 'Maintain Settings' window.
- Use the 'Field name:' drop-down menu to select 'Format' (for example). Then, click on the change (pencil) button below that field. This brings up a new window.
- Use the drop-down menu to change the default value and press the green check mark button.
- Back in the 'Maintain Settings' window, locate the 'Validity' area. This will determine whether the new default setting will apply to this report (transaction) or to all reports generated in all other areas of SAP. Please select 'Valid for this report only.'
- Press the 'Apply Setting' button. This moves the new default print setting to the list below the 'Apply Settings' button and will store it permanently in SAP.
- Press the green check mark button to save and return to 'Spool Request Attributes' window.
- Press the green check mark button to return to the 'Print ALV List' (or 'Print Screen List') window and then press it again to start printing. This will submit the custom spool request and then print out the report. The setting will be stored as a personal default. The next time this report is printed with this account, the setting will apply. To remove default settings, see below.
To delete persistent, custom print settings
- Follow steps 1 and 2 from the 'To set temporary custom print settings' process to bring up the 'Spool Request Attributes' window.
- Press the 'Defaults' button to bring up the 'Maintain Settings' window.
- Locate the list of settings displayed above the 'Delete settings' button. All of the custom settings will appear in this list. Settings that apply to specific reports will display their technical name in the 'Valid' field. Settings that apply to all reports will display 'Always' in the 'Valid' field.
- Highlight the setting that should be removed by clicking on the button to the left of that setting.
- Press the 'Delete settings' button to remove that setting.
- Repeat steps 4 and 5 as needed.
- Press the green check mark button.
