Purdue Fort Wayne- Voting and Tracking in Outlook

Overview

Using voting buttons/tracking responses, to know if some agrees or disagrees with a certain topic.

Instructions

How to use the voting buttons or track responses of others:

  1. Creating Voting Buttons:

    • Open a new email message in Microsoft Outlook.
    • Click on the “Options” tab in the ribbon.
    • In the “Tracking” group, click on “Use Voting Buttons.”
    • Choose from the predefined sets of voting buttons (e.g., “Approve/Reject,” “Yes/No/Maybe,” or custom buttons).
    • Complete your email message and send it to the recipients.
  2. Responding to Messages with Voting Buttons:

    • When recipients receive your email, they’ll see the voting buttons in the email body.
    • If they’re using Outlook, they can click on the notification that appears under your name.
    • This will direct them to click the appropriate voting button (e.g., “Approve,” “Yes,” “Maybe,” etc.) in the ribbon.
  3. Tracking Responses:

    • As recipients vote, their responses will be sent back to you as replies to your original email.
    • To view voting responses:
      • Click on the information in the Info bar (usually at the top of the email).
      • Choose “View voting responses.”

Remember to include a note in your email letting recipients know that you’ve added voting buttons, as the notification can be subtle and easily missed.
