Overview

Microsoft Office 365 (O365) Groups and SharePoint sites are tools to foster communication and collaboration at Purdue Fort Wayne. Use of this service requires thoughtful analysis, planning, governance, and oversight by the management of the relevant unit.  SharePoint sites are only created for officially recognized Purdue Fort Wayne units.

By requesting an O365 Group or SharePoint site you agree to:

  1. Ensure access is granted to your supervisor or other unit administration when appropriate.
  2. Understand the classifications of institutional data and maintain the appropriate safeguards to protect the data. See Purdue Data Classification and Handling Procedures. Note that per these standards, Office 365 Groups and SharePoint sites cannot be used to store Restricted data. See what other options are available for Restricted data.
  3. Continuously monitor your security settings to make sure you are exposing information to only the intended audience. This includes adding and removing employees as they enter and exit employment.
  4. Be responsible for any sub-sites created under this Group Site.
  5. Attend training before your first SharePoint site is created. This applies to all people designated as owners or members.
  6. Assign one or more backup owners to maintain business continuity. A site or group may be deleted if there is no owner designated and/or no activity in 1 year. IT Services is not responsible for any data loss that results from site deletion due to inactivity or lack of ownership.
  7. Use SharePoint only for university business.
