The options that you can use for Toolset:
O365 Group
An O365 Group is a web-based team collaboration space that includes file storage, a calendar, and simple task management. It is mobile-friendly and Office documents can be edited directly in your browser. It includes team "Conversations," which are like email but are stored as part of the Group so new members can take advantage of reading past conversations. Any O365 user can request to join private Groups, with the Group owner(s) being able to approve or deny or to add/remove members as they choose. For those who choose to dive into the deep end, a Group also includes a SharePoint site accessible by all members. Before requesting an O365 Group, we recommend you discuss its use with the people you plan to collaborate with. You won't realize the full benefits if adoption rates are low. O365 is not approved for the storage of Restricted data.
OneDrive
A storage solution using Office 365 is provided to all Purdue user accounts hosted on Microsoft-owned servers. Every Office 365 user receives 1TB of storage space in OneDrive. While files in OneDrive can be shared with others, they are tied to an individual’s account and, therefore, not advisable as a business solution. When an account is deleted, the shared files are deleted as well. It's important to note that OneDrive, despite being run by Microsoft under a contract with Purdue, is not approved for storing Restricted and private data.
SharePoint Site
SharePoint is a web-based collaboration space that includes tools such as discussion boards, wikis, task lists, file storage, image galleries, and more. It has infinitely customizable features and can be complex to use. Therefore, training is required. Additionally, IT Services does not support some advanced tools and features and should be used at your own risk. Membership in SharePoint sites is administered by IT Services, and requests to do this must be processed through the Help Desk. Before requesting a SharePoint site, we recommend you discuss its use with the people you plan to collaborate with. You won't realize the full benefits if adoption rates are low. SharePoint is not approved for the storage of Restricted data.
FileLocker
FileLocker is available to all with a Purdue career account and is for short-term transfer/sharing of Sensitive and Restricted data. Files can be uploaded and shared with others and are automatically deleted after 30 days. It can be accessed by going to https://one.purdue.edu/ and searching for Filelocker. Career Account storage is run by Purdue Central IT.
O Drive
An O Drive is a network share that appears on your campus computer as drive letter O. Use on Macs is not as seamless as on Windows computers and requires setup. It is best used when on campus in an office setting and is not as easily accessible from off-campus or on mobile devices. It is, however, a very simple technology and historically has been more widely adopted than any other sharing mechanism. Permissions to O Drive folders are administered by IT Services, and requests to change members must be processed through the Help Desk. O Drives are approved for the storage of Restricted data.
I Drive
While not collaborative, the I Drive is listed here for informational purposes. All account holders receive an I Drive folder to store files that only need to be accessed by them. Because files are tied to that person's username, they cannot be shared with others and are automatically deleted when the account is deleted. The I Drive is approved for the storage of Restricted data.
Google Drive
Google Drive is a file cloud storage and synchronization service hosted by Google. It is used for general data storage and collaboration. It also offers features such as real-time collaboration, version control, and advanced search capabilities. The basic plan provides users with 15GB of storage; Other plans are available. Google Drive is not approved for the storage of Restricted and Private data. Purdue does not support Google Drive.
Dropbox.com
Dropbox is a cloud-based platform that facilitates file sharing and storage. It is hosted on Dropbox-owned servers and can be accessed via dropbox.com or by downloading the application. Users have the option to share individual files with outside collaborators. Additionally, files stored on Dropbox can be accessed remotely using a web browser. Dropbox preserves deleted files and earlier versions of documents for 30 days for all Dropbox accounts. Dropbox Basic includes 2GB of storage. Other plans are available. Dropbox is not approved for the storage of Restricted and Private data. Purdue does not support Dropbox.
Amazon Drive
Amazon's cloud storage service enables users to share files with external collaborators while maintaining ownership. The platform uses Amazon's cloud services to store data. As the owner, you retain ownership of your files, but Amazon reserves the right to copy, modify, and use or access the files for technical support purposes. The platform is also known as Amazon CloudDrive and Amazon Photos. Amazon Drive is not approved for the storage of Restricted and Private data. Purdue does not support Amazon Drive.
